1. Who we are
AxeVault is operated by Reliant Goods LLC, a limited liability company formed in Delaware, United States (the “Company”, “we”, “our”). We are the data controller for personal information processed through AxeVault. You can contact us at any time through the in-app Support page.
2. Information we collect
Information you give us
- Account details — email address, display name, optional profile picture, and password (hashed, never stored in plain text).
- Instrument records — the make, model, serial number, photos, purchase price, current value, notes, and other details you choose to add about your instruments.
- Support messages — anything you send through our Support page, including your name, email, and the contents of your message.
Information collected automatically
- Usage and device data — IP address, browser type, operating system, pages visited, and timestamps. We use this to keep the service secure and working.
- Authentication cookies and local storage — to keep you signed in. See our Cookie Policy.
Information from payment processing
When you subscribe to AxeVault Pro, payment is handled by Stripe, Inc. We never see or store your full card number. Stripe shares limited billing information with us (e.g. last 4 digits, country, subscription status) so we can manage your account.
3. How we use your information
- To provide AxeVault — store your instruments, generate insurance PDFs, sync across devices.
- To authenticate you and protect your account.
- To process subscriptions and prevent fraud (with Stripe).
- To respond to support requests.
- To send essential service messages (e.g. password resets, billing failures, security alerts).
- To debug, monitor, and improve the service.
- To comply with legal obligations (tax, accounting, lawful requests).
We do not sell your personal information, and we do not use your instrument data or photos to train AI models.
4. Legal bases (for users in the EEA / UK)
- Contract — to deliver the service you signed up for.
- Legitimate interests — securing the service, preventing abuse, improving features.
- Legal obligation — tax, accounting, lawful requests.
- Consent — where required (e.g. optional cookies).
5. Sharing your information
We share personal data only with the service providers we need to run AxeVault:
- Lovable Cloud — our hosting, database, authentication, and file storage backend.
- Stripe, Inc. — payment processing and subscription management.
We may also disclose information if required by law, to enforce our Terms of Service, or to protect the rights, safety, or property of users or the public.
6. International transfers
Reliant Goods LLC is based in the United States, and our service providers may process data in the United States and other countries. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for international transfers.
7. How long we keep your information
- Account and instrument data: until you delete your account or the specific record.
- Support messages: up to 3 years, to handle follow-up questions and disputes.
- Billing records: as long as required by tax and accounting law (typically 7 years).
You can delete your account at any time from Account → Security. Deletion removes your instruments, photos, profile, and ends your subscription.
8. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your account and associated data.
- Export your data in a portable format.
- Object to or restrict certain processing.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with your local data protection authority.
California residents have additional rights under the CCPA / CPRA, including the right to know, the right to delete, and the right to opt out of “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under California law. To exercise any right, use the in-app Support page.
9. Security
We use encryption in transit (HTTPS), encrypted storage at rest, hashed passwords, row-level security on our database, and access controls on file storage. No system is 100% secure; if we ever detect a breach affecting your data we will notify you as required by law.
10. Children
AxeVault is not directed to children under 13 (or under 16 in the EEA / UK). We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us through Support and we will delete it.
11. Changes to this policy
We may update this policy from time to time. If we make material changes we will update the “Last updated” date and, where appropriate, notify you in-app or by email.
